What we collect
When you send us an enquiry (the form on our Contact page), we collect:
- your name and email address;
- your phone number and company name, if you give them;
- what you need a quote for, and the product or part and quantity, if you give them;
- for a rental, the start date and location;
- your message.
When you apply to become a customer (the form on our Become a Customer page), we collect your company name, full name, position at the company, email address, office phone, cell phone (if you give it), country, city and address.
Along with an enquiry or application, the website records the page you sent it from and the type of browser and device you used. It does not record your IP address with the form.
When you email or call us, we receive the information you include, for example your email address, phone number, the content of your message and any photos or files you attach.
When you visit the website, our hosting provider and its content delivery network receive the technical information every browser sends: your IP address, browser type, and the pages you request.
When someone tries to sign in, our sign-in protection records the IP address, the username entered, the time, and the number of attempts. We use this to block repeated failed sign-in attempts.
We do not use analytics or advertising tools on this website.
Client Login
We plan to add a Client Login area for approved business customers. If your company becomes a customer, we create the account for you; there is no open registration. The account will hold your company name, contact name, email address (used to sign in) and phone number, and your company’s price list. You will set your own password using a link we email to you; we store only a scrambled (hashed) version of it. We will update this policy when Client Login is available.
Why we collect it
We use your information to:
- answer your enquiry and prepare quotes;
- confirm by email that we received your enquiry or application;
- review your application and set up your customer account;
- provide our products, rentals and services, and keep business and accounting records;
- keep the website and accounts secure.
We do not use your information for marketing emails unless you separately agree to receive them.
Who we share it with
We do not sell your personal information.
We share it only with service providers that help us run our business and this website, and only as needed for their service:
- website hosting and content delivery;
- email;
- our accounting software.
Some pages include a video played by Vimeo. When the video player loads, Vimeo receives your IP address and browser information. We set the player so that Vimeo does not track your viewing with cookies. You can read Vimeo’s privacy policy at vimeo.com/privacy.
We may also disclose information when the law requires it.
Where it is stored
Your information is stored on the servers of our website hosting provider and in our email and business systems. Our service providers may store or process information in Canada, the United States or other countries, where it is subject to the laws of those countries.
How long we keep it
We keep personal information only as long as we need it to respond to you, to do business with you, and to meet legal and accounting requirements. After that, we delete it or make it anonymous.
Copies of enquiries and applications sent through the website forms are kept in the website’s administration area for up to 12 months and then deleted automatically. A copy of each email the website sends is kept for up to 14 days to check delivery. Records of failed sign-in attempts are deleted after 90 days.
Security
We protect your information with reasonable safeguards. The website uses an encrypted connection (HTTPS). Access to enquiries, applications and the website’s administration is limited to people who need it for their work, and accounts are protected by passwords and limits on repeated sign-in attempts. The forms are protected from spam without third-party services. No method of sending or storing information online is completely secure, so we cannot guarantee absolute security.
Cookies
Cookies are small files that a website saves in your browser.
Our public pages do not set cookies. We use cookies only where they are needed for the website to work:
- Sign-in cookies (WordPress): set when you open the sign-in page or sign in, to keep you signed in. They last until you close your browser, or up to 14 days if you choose “Remember me”.
- Sign-in protection (
llar_login_flow): set when you open the sign-in page, to help block repeated failed sign-in attempts. It lasts 24 hours. - Administration settings (WordPress): for our staff only, to remember screen settings in the website’s administration area.
You can block or delete cookies in your browser settings. If you block them, you will not be able to sign in.
Your rights
You can:
- ask what personal information we hold about you and get a copy;
- ask us to correct information that is wrong or incomplete;
- withdraw your consent to our use of your information, subject to legal and contractual limits (for example, records we must keep for accounting).

This policy is effective as of November 1, 2026.
